Job Purpose

The F&I Specialist is a process owner within the Finance & Insurance department, responsible for managing the complete back-office execution of finance, insurance (F&I) and value-added product (VAP) transactions across all retail locations. This role ensures accuracy, compliance, and timeliness across key operational areas including documentation control, deal tracking, disbursement management, reconciliation, and internal reporting.
The Specialist plays a critical role in enabling revenue realization by maintaining full visibility over transaction flow, ensuring receivable settlements, managing bank and supplier payouts, and driving income flow realization, financial closure, and audit readiness. With strong command over dealership systems, financial workflows, and internal controls, the F&I Specialist ensures the operational integrity of the F&I function at scale. The accuracy and timeliness of this function directly impact F&I revenue recognition, receivable settlements, and monthly profitability.

Job Responsibilities

  • Review, validate, and finalize all customer documentation related to F&I and VAP before submission.
  • Submit verified files to assigned bank and insurance partners, ensuring adherence to partner-specific formats, checklists, and system requirements.
  • Maintain full ownership of the disbursement cycle: prepare second-sets post-invoice, submit to banks, and follow up until payment is confirmed.
  • Update the F&I tracker daily with submission, approval, invoicing, and disbursement status. Provide visibility to Business Managers and Head of F&I.
  • Confirm disbursements with bank partners and ensure timely receivable settlement in Autoline through communication with Finance/Credit Control.
  • Perform monthly reconciliation of F&I and VAP transactions by matching internal records against approvals and receipts.
  • Generate monthly F&I commission reports in alignment with the approved payout structure.
  • Ensure accuracy of deal values, commission structures, and invoice references across all F&I income streams before submission to Finance for processing.
  • Initiate and manage the issuance of tax invoices for bank commissions and supplier payouts by submitting the required documentation to the Finance Department and ensuring timely processing of all related transactions.
  • Maintain audit-ready digital and physical archives of all F&I transaction documentation, including approvals, payment proofs, invoices, and communications.
  • Monitor and control turnaround times (TAT) for all F&I transactions; track each stage from submission to disbursement and escalate process gaps or delays to the Head of F&I.
  • Act as the first point of contact for resolving documentation errors, rejections, or disbursement delays with partner banks and insurers.
  • Maintain up-to-date documentation of operational processes and drive improvements in workflow, tracking tools, and system controls to enhance F&I performance and audit readiness.
  • Implement documentation and workflow adjustments required for the rollout of new F&I products and process enhancements across the back-office operation.
  • Contributes to system updates, tracker redesigns, or automation efforts related to back-office F&I processing, when required.
     

Job Requirements

 

Qualifications

  • Bachelor’s degree in Business/Finance/Accounting (or equivalent).

 

Experience

  • 4 years of experience in automotive finance operations, leasing, banking back-office, or other structured environments involving financial documentation, reconciliation, and disbursement processes.

 

Knowledge & Skills

  • MS Excel (Pivot Tables, VLOOKUP, IF)
