Job Purpose

Ensure that the front office is managed efficiently and all calls are attended to efficiently.

Job Responsibilities

• Handles incoming calls promptly and transfers to concerned department/person to ensure that the caller’s requirements are addressed in a timely manner.
• Ensures that all outgoing calls (international, faxes, staff personal calls) are logged properly for accounts purposes.
• Distributes inter-office correspondence prepared or received from other department to concerned persons to ensure proper dissemination of information.
• Handles administrative functions (i.e. photocopying of office documents, incoming/outgoing fax) to provide support to the sales department.
• In the absence of Sales Executives, attends to walk-in customers and telephone inquiries to ensure that their requirements are addressed in a timely manner. Forwards the information to the Sales Executive for follow-up.
• Logs attendance of sales employees to ensure proper monitoring of attendance for payroll purposes.
• Handling Courier, stationary requirement.
• Assist in Day-to-day office administration.

Job Requirements

Qualifications
Bachelor’s degree or Diploma

Experience
1 – 2 years’ of experience in secretariat/administration

Knowledge & Skills

  • Computer applications skills;
  • Good English and Communication skills (verbal and written);
  • Good interpersonal skills and be Presentable and pleasant;
  • High confidentiality;
  • Ability to compose routine correspondence and reports.
  • Ability to operate standard office equipment
  • Coordinating tasks
  • Proficient in MS Word, Excel, PowerPoint
