Job Purpose

Provide GM with the needed support to facilitate his work and ensure that the work environment is efficient.

Job Responsibilities

  • Responsible for handling GM’s office works (maintain schedule, event calendars, etc.)
  • Produce reports, compose correspondence, and draft new contracts in English and Arabic
  • Keep management informed by reviewing and analysing special reports, summarizing information, identifying developments
  • Provide high-level, confidential administrative support to the facility operations, and ensure a smooth running of the Office
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Act as a liaison between executives, management and with group departments
  • Implement office policies by following standards and procedures of the group policy
  • Create and disseminate office communications, including event invites, office announcements, and program reminders or as per instruction
  • Receive, direct and convey telephone messages and fax messages
  • Maintain the general filing system and file all correspondence
  • Maintain an adequate inventory of office supplies
  • Organize and plan events in coordination with Group Marketing
  • Manage staff requirements in coordination with HR department
  • Provide administration support cover to other members of the team, as required
  • Supports company operations by maintaining office systems and supervising office boy, driver and receptionist

Job Requirements

Qualifications

  • Bachelor’s degree in any field, preferably in business administration

 

Experience

  • 5 - 8 years’ of experience in secretarial or office administration role
